Marketing Specialist

  • McNeill Baur PLLC, a certified woman-owned biotech and pharma-focused IP boutique, is looking for a detail-oriented, tech-savvy, self-motivated marketing specialist with at least three years of legal marketing experience, preferably with an Intellectual Property law firm or practice group.  The successful candidate will have superior writing, editorial, and proofreading skills.  Attention to detail, strategic thinking, and the ability to work independently to move projects forward is crucial.

  • Partnering with the management committee, partners, and operations manager the successful candidate will be responsible for the following:

      • handle maintenance of firm website content and internet presence (i.e., posting events, articles, and LinkedIn posts, etc.)
      • manage the development and coordination of internal and external marketing materials, including marketing materials for attorneys, time sensitive firm announcements, sponsorship advertisements, and newsletters.
      • coordinate new client proposals, including RFPs and outside counsel agreements with partners and external clients and vendors as appropriate
      • report firm statistics for use in marketing materials
      • manage and coordinate the firm’s industry ranking materials to include preparing and submitting marketing surveys (i.e., MIP IP Stars, IAM)
      • researching and identifying new opportunities for firm rankings and branding.
      • provide support and coordinate with attorneys for all speaking and outside marketing events.
      • support human resources with new hire onboarding (ie: photograph scheduling, professional biography development, and training)Firm event planning to include scheduling monthly virtual lunch and coffee meet-ups, social in-person lunch events, and coordinating with human resources on the firmwide retreat.
      • coordinating, purchasing and distributing firm anniversary and holiday gifts for employees
      • work with outside vendors as needed on promotional items
      • other administrative duties as needed, such as coordinating firm activities and meetings.

     

  • Qualified candidates will also have strong technical skills, including solid proficiency in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat a must.  Web editing experience using Surreal CMS or another comparable web editing tool is preferred. Working knowledge of Constant Contact a plus.  Must demonstrate the ability to prioritize multiple assignments while remaining flexible.

    Billing specialist

    • We seek a detail-oriented billing specialist with at least five years of billing work experience, preferably in a law firm or professional services environment, to join our collaborative administration team.

    • Responsibilities include:

        • Monitor and address incoming mail in the accounting inbox
        • Assist partners with billing activities, including, but not limited to: uploading out-of-pocket expenses for foreign counsel, uploading FedEx, UPS, and other shipping charges, ensuring USPTO fees have been recorded, preparing and sending client invoices to client, preparing and uploading LEDES files into client electronic billing systems
        • Establish a workflow to monitor and respond to all electronic invoice rejections
        • Work with the appropriate partner to get the necessary reference numbers for electronic invoice submittal
        • Submit new timekeeper rates in client’s electronic billing system
        • Review and respond to questions from foreign counsel regarding their invoices
        • Assist with the invoice processing for foreign counsel invoices utilizing the WUBS/Convera system
        • Other administrative projects as assigned
    • ABOUT YOU:

    • The successful candidate will possess excellent written and communication skills, and strong organizational skills. Because our firm operates across many states and with cloud-based systems, we require the ability to work independently and communicate effectively with the operations manager and partners in different offices. A high level of proficiency with computer system and databases, and excellent Microsoft Office skills with a focus on Excel, and billing software program skills are also a prerequisite. PATENT Prosecution coordinator

We are looking for a patent prosecution coordinator with at least 5 years of experience.

Successful candidates will be responsible for a wide range of complex and substantive duties. The patent prosecution coordinator will provide patent-related paralegal services on client billable and non-billable matters including, but not limited to:

          • managing deadlines in the firm’s docket system,
          • preparing and uploading US and PCT filings onto EFS-web,
          • assisting with the preparation of information disclosure statements,
          • managing foreign and PCT filings,
          • drafting reporting letters,
          • assisting with electronic file management,
          • providing general administrative support to the attorneys of the firm, and
          • handling other miscellaneous activities required in a small firm environment.

Candidates will be expected to take responsibility for specific client matters and will be responsible, along with the firm’s attorneys, for reviewing and meeting all deadlines assigned through the careful monitoring of docket deadlines and prioritization of daily tasks.

Required Experience:  Five years of experience in an IP law practice providing patent prosecution related tasks; a strong knowledge of US patent prosecution rules; an ability to organize and prioritize numerous tasks and complete them under time constraints; possess excellent interpersonal skills necessary to communicate effectively and professionally; maintain a high-level of attention to detail and organization; and proficiency with EFS-Web, Microsoft software applications, and docketing systems. Preference will be given to candidates with substantial foreign filing experience.

Compensation range: $40-60 per hour

Part-time or full-time position. PATENT Attorney - Opinion and Diligence

Our diligence and opinion practice is growing! We are looking for attorneys with advanced degrees in Biology or Chemistry with at least 4 years relevant experience in opinion drafting, due diligence investigations, litigation, and/or patent counseling.

Primary responsibilities will include drafting applications, responses to office actions for US and foreign applications, and supporting the firm’s attorneys in the technical aspects of opinions and other counseling projects.
